About Us
We are an international company with 260 employees worldwide, and we are looking for a dedicated Office Administrator (m/f/d) to join our small but dynamic team in Hannover. Our Hannover office consists of nine colleagues, and we need an organized and proactive professional to support our daily operations.
Your Responsibilities
As the first point of contact for visitors, you will play a key role in creating a welcoming atmosphere at our office.
You will assist guests with directions, hotel recommendations, and dinner reservations to ensure a smooth and pleasant experience. In addition, you'll handle incoming calls and emails, forwarding them to the appropriate contacts, and manage both physical and digital correspondence.
Your responsibilities will also include coordinating with landlords and cleaning services to help maintain a well-organized and efficient office environment. In the area of procurement, you will manage orders for office supplies such as paper, coffee, and beverages.
You will monitor deliveries, follow up on issues, and handle complaints when necessary. On the logistics side, you’ll prepare materials for shipping, create labels, arrange pick-ups, and manage related documentation such as delivery notes.
As part of our office management team, you'll ensure that essential supplies are stocked, the coffee machine is maintained, and meeting rooms are clean and organized. You’ll also be responsible for maintaining administrative records, including insurance documents.
Your Profile
We are looking for someone with experience in a similar role, ideally in a small office environment. You should be proficient in MS Office, and experience with ERP systems like ABAS is a plus.
Strong organizational skills and an independent working style are essential, as well as a friendly and professional demeanor. Fluency in both German and English is required.
